Case study · AI & Automation

D&K Ventures: taking the busywork out of company setup.

D&K Ventures helps founders and investors set up in the UAE, from mainland, free zone and offshore company formation to bank accounts, visas, VAT and ongoing compliance. We built a set of AI assistants and automations around their day-to-day work, so the team spends less time answering the same questions and chasing paperwork, and more time with clients.

A people business buried in admin.

Setting up a company in the UAE involves a lot of steps, and clients want to know where they stand at every one of them.

Most enquiries start with the same questions. Mainland or free zone? How much will it cost? How many visas can I get? Which documents do you need? Once a client signs up, the work turns into collecting passports and KYC documents, tracking each application through licensing, banking and immigration, and keeping the client informed along the way. After that come licence renewals, visa expiries and VAT deadlines.

D&K's consultants know this process inside out. The problem was how much of their day went into repeating it by hand.

Where the time was going.

We spent the first part of the project listening to the team and going through recent client files.

  • Enquiries on WhatsApp, email and the website often got the same first answer, typed out again each time.
  • Leads came in at all hours, and the ones that arrived after the office closed often waited until the next morning.
  • Collecting documents meant several rounds of "we still need a clear copy of…" before a file was complete.
  • Clients regularly called or messaged just to ask for an update on their application.
  • Renewal and expiry dates were tracked in spreadsheets, which made them easy to miss.

What we built.

We didn't try to automate the advice. That stays with D&K's consultants.

Instead, we looked for the repetitive steps around it and handed those to AI and automation, with a person checking anything that matters.

01

An AI assistant for first enquiries

Visitors on the website and WhatsApp can ask about setup options, typical costs, visa allowances and required documents at any time of day. The assistant answers from D&K's own service information and pricing, asks a few qualifying questions, and hands the conversation to a consultant with a short summary once the person is ready to talk.

02

Lead qualification and booking

Each enquiry is tagged by what the person is looking for (jurisdiction, business activity, number of visas, timeline) and routed to the right consultant. Serious enquiries can book a consultation slot straight away instead of waiting for a call back.

03

Document collection and checks

Clients upload passports, photos and supporting documents through a simple link. AI reads each file, pulls out the key details, and flags anything that is missing, unclear or close to expiry before a consultant looks at it. Most back-and-forth now happens in the first round.

04

Proposals in minutes

Using the answers gathered during the enquiry, the system drafts a setup proposal with the recommended structure, fees and timeline. The consultant reviews and adjusts it before it goes out.

05

Automatic progress updates

Each client file moves through clear stages, from name reservation and licence to bank account and visas. When a stage is completed, the client gets a short update on WhatsApp or email, so they hear about progress without having to ask.

06

Renewal and compliance reminders

Trade licence renewals, visa expiries and VAT filing dates are tracked for every client. Reminders go out ahead of time, and the team gets a weekly list of what is coming up, which also opens the door to repeat business.

A smaller piece: finding new clients.

Alongside the automation work, we helped D&K with a focused B2B lead-generation process. It was a supporting part of the project, built on the same idea of putting the team's time where it counts.

  • Right prospects: research focused on businesses showing signs they were preparing to set up or expand in the UAE, rather than broad contact lists.
  • Relevant messages: AI helped draft outreach around each prospect's situation, which the team reviewed before sending.
  • Steady follow-up: a simple sequence made sure promising conversations weren't dropped, and replies flowed into the same pipeline as inbound enquiries.
Target+20%

Prospect engagement

More meaningful replies through better targeting and personalised outreach.

Target+15%

Qualified lead conversion

More prospects moving from first contact to a qualified opportunity.

These are the targets the outreach was built around, not reported results.

What changed.

The consultants still do the consulting. They just do a lot less of everything around it.

  • New enquiries get an answer straight away, including evenings and weekends.
  • Consultants start each conversation with a summary instead of a blank chat.
  • Client files are complete sooner, with fewer rounds of document requests.
  • Clients hear about progress without having to chase for it.
  • Renewals and deadlines are flagged in advance instead of found at the last minute.

The takeaway.

AI works best when it takes the repetitive work off people, not the judgement.

For a consultancy like D&K, the value is in the advice and the relationships. Everything we built was aimed at giving the team more time for both, and making the client's experience feel quicker and more organised from the first message onwards.
